The Erasmus+ programme supports professional development and training initiatives for university staff at European higher education institutions and companies in programme countries. On this page, you will find all the key information you need. Check the eligibility criteria and be inspired by typical training formats.
1. Language study trips
Erasmus+ language study trips are open to all TVP staff and offer an excellent opportunity to refresh or specifically improve foreign language skills on the ground – whilst at the same time developing intercultural skills. For a language course to be funded through the Erasmus+ programme, it must be at a language school within the Erasmus area and must involve at least 270 minutes of tuition per day. Language courses within Germany are not eligible for Erasmus+ funding.
2. Staff Training Weeks
Many European universities regularly offer topic-specific training weeks, known as Staff Training Weeks. These are often aimed at staff in specific areas such as press and public relations, IT or library services. The IMOTION platform (Integration and Promotion of Staff Training Courses at Universities across Europe) provides an up-to-date overview of the available opportunities.
3. Job shadowing
In job shadowing, staff members spend time at a host university and work alongside colleagues on a work plan agreed upon individually. The aim is the mutual exchange of experiences, ideas and new perspectives for their own field of work. For this type of mobility, interested parties should independently research suitable host institutions and have specific ideas regarding the content of the work programme.
4. Workshops and seminars
Participation in international workshops and seminars offers staff the opportunity to undertake targeted professional development, learn about new methods and adopt best practices from other institutions. At the same time, these formats promote exchange and networking with international colleagues. A prerequisite is that there is a clear link to one’s own professional activities and that the event includes an active learning component (pure conference attendance is not eligible for funding).

Recognition:
STT mobility programmes are recognised as work-related training and professional development initiatives. This is subject to prior approval by the relevant department and the conclusion of a Mobility Agreement setting out the objectives and content of the programme. The duration of the mobility period counts as regular working time, and your participation is officially documented as a training programme. To have this recorded in your personnel file, please contact the relevant colleagues in the Human Resources department.
Participants receive financial support to cover travel and living expenses (Erasmus Grant). The amount of the grant depends on the destination country and the duration of the stay. The grant rates are set by the European Commission and vary depending on the partner country’s category. The unit costs for travel are calculated using the Distance Calculator. The point of departure is always the participant’s place of work.
Example: Attending a 5-day English language course in Cork, Ireland
Input data:
- Distance (according to the Distance Calculator): 1,253.49 km
- Erasmus daily allowance for Ireland (country category 1): 180 EUR / day
- Duration of the language course: 5 days
- Travel days: 2
- Travel allowance (standard / non-green): 309 EUR
Calculation:
- Daily allowance: 7 days (5 programme days + 2 travel days) × 180 EUR = 1,260 EUR
- Travel allowance: 309 EUR
Total funding: 1,569 EUR

Financial support for sustainable modes of transport is intended to increase the number of journeys made using more environmentally friendly transport and to reduce the ecological footprint of the Erasmus+ programme. The funding for "Green Travel" consists of an increased travel allowance (depending on the flat rate for the distance category), which is paid as a one-off payment, and can also be combined with funding for up to 2 additional travel days. Example: Participation in a 5-day Staff Week in Madrid, Spain
Input data:
- Distance (according to the Distance Calculator): 1,785.95 km
- Erasmus daily allowance for Spain (Country Category 2): 160 EUR / day
- Duration of the event: 5 days
- Travel days: 4 (train journey)
- Travel allowance (Green Travel): 417 EUR
Calculation:
- Daily allowance: 9 days (5 programme days + 4 travel days) × 160 EUR = 1,440 EUR
- Travel allowance (Green Travel): 417 EUR
Total funding: 1,857 EUR

Zusatzförderung für Hochschulpersonal mit Behinderung oder chronischer Erkrankung:
Mitarbeitende an Hochschulen mit einer Behinderung oder einer chronischen Erkrankung, welche für einen Auslandaufenthalt über Erasmus+ gefördert werden, können – bei Vorlage eines entsprechenden Antrags (Realkostenantrag) – über die Heimathochschule Unterstützung real anfallender Mehrkosten beantragen. Weitere Informationen finden Sie hier.
Mitarbeitende an Hochschulen, welche für einen Auslandsaufenthalt über Erasmus+ gefördert werden und mit ihrem Kind/ihren Kindern ins Ausland reisen, können über ihre Hochschule (ab dem Projekt 2022) bei Vorlage eines entsprechenden Antrags (Realkostenantrag) über die Heimathochschule eine Unterstützung zu anfallenden Mehrkosten beantragen. - If the host institution is a higher education institution, it must hold an Erasmus University Charter (ECHE). An Erasmus+ agreement between the higher education institution and HCU Hamburg is not a requirement.
- If the host institution is not a higher education institution, the organisation (e.g. an NGO, public authority or research institute) must be located in an Erasmus+ programme country.
- The mobility period may last for a minimum of 2 days (excluding travel time) and a maximum of 2 months. At HCU Hamburg, the Erasmus+ budget can currently fund up to 5 active days, plus travel days.
- Online formats (blended mobility) are possible under certain conditions, but purely virtual mobility is not funded.
- Upon completion of the Erasmus+ staff mobility (training week, job shadowing, etc.), a Certificate of Attendance must be submitted.
- Parallel funding for similar costs from other EU programmes is not permitted.

Bewerbungen für die Erasmus+ Fort- und Weiterbildungsmaßnahmen (STT) sind laufend möglich, solange Fördermittel verfügbar sind; es gibt keine festen Bewerbungsfristen. Die Bewerbung sollte jedoch mindestens zwei Monate vor Reiseantritt eingereicht werden.
Ihre Bewerbung auf einen Erasmus-Grant erfolgt über die Datenbankanwendung Mobility-Online. Registrieren Sie sich in Mobility-Online und füllen Sie das Online-Bewerbungsformular für einen Auslandsaufenthalt aus. Bitte geben Sie bei der Bewerbung ausschließlich Ihre HCU E-Mail-Adresse an (Bsp.: xxx@vw.hcu-hamburg.de). Ohne Eingabe der offiziellen HCU E-Mail-Adresse kann die Bewerbung nicht bearbeitet werden. Falls Sie bereits in Mobility Online registriert sind, erkennt das System Ihre Angaben automatisch, sofern Sie dieselben persönlichen Daten angeben, die Sie bei Ihrer vorherigen Bewerbung verwendet haben. Vervollständigen Sie Ihre Personenstammdaten bzw. überprüfen Sie die Richtigkeit und Vollständigkeit der Daten, falls Sie bereits im System registriert waren.
Für die Beantragung einer STT-Förderung ist in Mobility-Online eine Einladung bzw. Zusage der Gasteinrichtung hochzuladen. Das Einladungsschreiben sollte Angaben zur Gastinstitution, zum Zeitraum und zum Zweck ihrer Mobilität enthalten.
Bitte beantworten Sie alle Fragen zu Ihrem geplanten Aufenthalt in Mobility Online so detailliert wie möglich. Ihre Antworten werden Bestandteil des Mobility Agreements und des Grant Agreements.
An Erasmus+ grant does not provide any insurance cover. Neither the European Commission, the NA DAAD nor HafenCity University Hamburg (HCU) accept any liability for damages arising in connection with Erasmus+ stays abroad, in particular for illness, death, accidents, personal injury or loss of or damage to property. Statutory accident insurance cover remains in place.
Under the Grant Agreement, grant recipients commit to obtaining adequate insurance cover themselves, in particular:
- Health insurance
In the case of inter-European mobility, the participant’s national health insurance provides basic cover during their stay in another EU country via the European Health Insurance Card (EHIC). This cover may not be sufficient for all situations, e.g. in the event of return transport or a specific medical procedure; supplementary private health insurance is therefore recommended. For mobility outside Europe, private international health insurance must be arranged.
- Liability insurance
Participants are generally covered for occupational risks through their employer’s liability or accident insurance whilst on approved business trips. For private risks, private liability insurance is recommended.
- Accident insurance and cover for serious illnesses
Statutory accident insurance cover applies to work-related risks during approved business trips. However, this does not replace personal responsibility for other risks, particularly private risks abroad. Participants should consider taking out supplementary cover for accidents and serious illnesses (including total or partial incapacity to work).
- Term life insurance
This can cover return transport in the event of death, in particular.
- Optional: Insurance against loss or theft of documents, travel tickets and luggage
In many cases, this cover may be included as an add-on to travel insurance, but should be taken out separately if necessary.
- Optional: Travel insurance
As the HCU is only permitted to use funds for trips that have actually taken place, we are unfortunately unable to cover costs incurred in advance for a trip that has not been undertaken. Please bear this in mind when planning your trip and, if necessary, take out suitable travel cancellation insurance. Travel insurance can cover additional risks, e.g. trip cancellation, trip interruption or loss of luggage.
It is possible to be included in the DAAD group insurance scheme , which offers comprehensive cover. This includes health, liability and accident insurance (including repatriation), tariff 720. Further information is available from the DAAD, Insurance Office 0228/882 – 8770. Applications can be submitted via My DAAD.
Note: The above information is provided for general guidance only and is subject to change. All participants are responsible for ensuring they have adequate insurance cover.
Bitte beachten Sie, dass Sie die im Grant Agreement aufgeführten Pauschalen in Ihrer Steuererklärung als Einnahmen angeben müssen. Die tatsächlich angefallenen Kosten können Sie als Werbungskosten geltend machen. Das Grant Agreement gilt dabei als Nachweis der Einnahmen. Bewahren Sie zudem alle Belege über Ihre Ausgaben sorgfältig auf, um diese bei Rückfragen durch das Finanzamt nachweisen zu können.
- Sachkosten (Druckkosten etc.) sowie Teilnahmegebühren (z.B. für Sprachkure oder Workshops) können nicht aus den Erasmus+ Mobilitätsmitteln finanziert werden.
- Änderungen (bspw. Verkürzung der Mobilität, Änderung An- und Abreisetag, Abreiseort (Hinfahrt), Verschiebungen) sind umgehend per E-Mail hcu-staff-mobility(at)vw.hcu-hamburg.de mitzuteilen.
- Auf die Förderung besteht kein Rechtsanspruch. Die Bewilligung erfolgt unter Vorbehalt der Bereitstellung und Verfügbarkeit der Mittel.
- Stornokosten können nicht erstattet werden. Wir empfehlen eine Reiserücktrittskostenversicherung.
- Bitte buchen Sie Reise und Unterkunft erst, wenn das „Mobility Agreement for Training“ von allen drei Parteien unterzeichnet und das Grant Agreement von beiden Seiten unterzeichnet vorliegt. Buchungen, die vor Vorliegen dieser Dokumente erfolgen, geschehen auf eigenes Risiko. Bitte beachten Sie außerdem: Sollte es zu einem kurzfristigen Rücktritt kommen, müssen bereits ausgezahlte Pauschalen ggf. zurückgefordert werden.
- Werden mit der Erasmus+ Mobilität Urlaube verbunden, so sind diese Kosten von den mobilen Personen selbst zu tragen.
- Bitte beachten Sie die aktuellen Hinweise zu Reisebedingungen (Auswärtiges Amt).
- Deutschen Staatsangehörigen wird empfohlen sich unabhängig vom Land und der Dauer des Auslandsaufenthalts in die Krisenvorsorgeliste "ELEFAND" des Auswärtigen Amts einzutragen.
