HCU-Card | semester documents | SemesterTicket

As soon as the payment of the semester contribution has been credited in the credit side to the account of the HCU, the semester documents will be generated and are available for download in the ahoi-account.

After the students received a confirmation of re-registration (email to HCU-email), students can independently imprint the current semester data to the HCU-card at the validation station in the HCU.

To valid the HCU-Card (student ID | HVV-SemesterTicket) for the future semester and to get the online semester documents, following requirements must be meet:

1. the semester contribution has been fully paid,
2. no other fees are open and
3. not re-registration blocks were
set.

Since the winter semester 2014/2015 only the electronic HCU-Card for students is valid. The HCU-Card is both student ID card and HVV-Semester-Ticket, it also serves as a cashless means of payment in the mensa and has more features (eg printer card, library card).

By entering the university building in HafenCity in the summer semester of 2014, the electronic HCU-Card will be implementated.

The HCU-Card for Students replaces the old student ID card and the old HVV semester ticket (ticket for public transport). It can also be used as a means for cashless payment in the cafeteria. In addition, other functions are enabled (e.g. Copy-Card function).

Starting in the winter semester 2014/2015 the electronic HCU-Card for students is only valid.

For this reason, the Student Administration need a passport photo of ALL students.

To enable all students from 1 April 2014 the use of the HVV-semester ticket, the old student ID card and the old HVV semester ticket is initially issued in paper form (provisional semester documents).

Requirements for the issue of the provisional semester documents:

1. that the semester contribution has been paid,
2. there are no other refusal reasons (for example: overdue payment of fees, lack of health insurance cover, and so on)
3. and a upload of your passport photo via the ahoi-account.

Please make sure, that the passport photo of yourself meet the following requirements:
 
1. Jpg file (35 mm x 45 mm – format for passport photo),
2. Frontal picture,
3. Neutral facial expression (You must be identifiable!),
4. No disguise of the face,
5. Good ilumination of the picture without reflections and shadows on the face and background, good focus.

Please note the sample pictures.

If these requirements are not met, we may be unable to accept your photo.
And we can no submit provisional documentation.

Please upload a passport photo via your ahoi-account and follow the intruduction:

1. Login in in your ahoi-account.
2. Change to the tab page "service".
3. Click on "Change".
4. Click on "Picture upload".
5. Click on "Durchsuchen=browse" and choose a picture of yourself.
6. Click on "Start upload". A confirmation window pop up if the upload was successful. You can close the window.
7. Click on "Save" on the tab page "Personal Data".
Only after saving the upload is complete!

You are new at the HCU or you begin a new study at HCU in wintersemester 2014/15 and don´t have a HCU-Card?

When you are enrolled you get by mail the provisionally Student ID-Card and the HVV-SemesterTicket in paper form (1 month valid - 1. October 2014 - 31. October 2014).

You can pick up your HCU-Card after the beginning of the lecture period.

You can pick up your HCU-Card during the opening hours of the Infothek.

Please present the following documents.

• Identity card
• HVV SemesterTicket (ticket for public transport) (must be returned)
• Student ID (must be returned)

Attention:

Without these documents your HCU-Card will not be handed over to you!

After having received your HCU-Card you have to validate it at
the machine
in the foyer under the main stairway on the right side.

Without the validation of the HCU-Card you have no valid HVV SemesterTicket | student ID.

 

Your HCU-Card was stolen or you have lost it?

Then you have the opportunity to apply for a reprint of your HCU-Card (free required).

You can download the application here or pick it up in the Infothek.

Why should you apply?

Without the HCU-Card you

1. don´t have a valid Student ID Card,
2. don´t have a valid SemesterTicket for public transport,
3. are not able to copy or print at the HCU

etc.

Important > Notification of loss and block of the HCU-Card at the Student Administration!

Please inform in any case the Student Administration!

It is important that the card will be blocked immediately to prevent the misuse and if the finder with the card uses the public transport system, the Student Administration can report to the HVV / police in case of an investigation that the card the student has given the notification of lost or stolen theft.

Es ist wichtig, dass die Karte sofort gesperrt wird um zu verhindern, dass diese mißbräuchlich verwendet wird oder falls jemand fremdes mit der Karte den öffentlichen Nahverkehr nutzt, die Studierendenverwaltung dem HVV/der Polizei im Falle eines Ermittlungsverfahrens die Auskunft geben kann, dass die Karte als verloren bzw. gestohlen gemeldet wurde.

The application for reprint can be hand in later!

When the card is found, the Student Administration take care of the unlocking. A short email is enough!

 

 

You re-registrated to the following semester due to the payment of the semester contribution and want to update your HCU-Card. Than please note following instructions:

1. The update of the HCU-Card for the following semester is possible 2 weeks before semester starting.

That means, you can update you HCU-Card for

winter semester from 17.09

summer semester from 18.03

2. If you have payed the semester contribution, but the update is not possible, that please contact the student administration.

We have to check, if there are any reasons which you are not allow to re-register.

Since a few semester the enrollment certificates, a certificate in accordance with article 9 of the Federal Education and Training Assistance Act (BAföG), and a certificate for the German Railways (Deutsche Bahn AG) will be made available for download in the ahoi account of the students.

All students of the HafenCity University receive a HVV-SemesterTicket.

You and up to three children up to the age of 14 (i.e. up to their 15th birthday) can travel on the entire Hamburg public transport system (HVV) for six months using this ticket.

Under very specific conditions (see refund HVV-SemesterTicket contribution), you can apply for a refund of the price of the ticket via the hardship fund.

In most cases, it is worth keeping and using the ticket, as the 28,85 a month that the ticket costs quickly adds up if you buy single tickets.

The cheap price for the HVV-SemesterTicket is only possible because the student body has commit to buy one ticket for each registered student.

For this reason, each student automatically receives a HVV-SemesterTicket.

In certain cases it is possible to apply for the refund of the contribution for the HVV-SemesterTicket at the Studierendenwerk.

The guidelines for the refund are set by the AStA.

Even if an application has been made, the full semester contribution for the relevant semester (including the contribution for the HVV-Semester-Ticket) must have been transferred to the bank account of the HCU.

This should be done early, as the HCU-Card must be validated before the start of the relevant semester. The requirement is that the approval exists (decision of the Studierendenwerk).

You can find the application form for the refund at the website of the Studierendenwerk Link.

The application has to be completly filled, signed and submitted in time (incoming mail stamp of the Studierendenwerk) together with the necessary proofs to the Studierendenwerk Hamburg.

Deadline for the application

for the refund of the contribution for summer semester - 31. März and
for the refund of the contribution for winter semester - 30. September.

You have applied for the refund of the contribution for the HVV-SemesterTicket.

After the application was checked you will receive an approval or rejection letter.

In the approval letter the further steps will be discriped.

1. You have to visit the Infothek of the HCU and must show the approval letter.

 

You have agreed to data exchange?

2. The staff of the Infothek will ask you to valid your HCU-Card at the validierung station. The data on your HCU-Card will be re-printed (authorization period and HVV logo will be removed).

3. Now you have to show your HCU-Card the staff of the Infothek.

4. You get the a confirmation of delation.

5. The original confirmation of delation has to be submitted to the Studierendenwerk.

Please note:
A deadline for the submission of the confirmation is set in the approval letter. If you miss the deadline maybe you don´t get the refund.

6. The Studierendenwerk transfer the ammount to your bank account if the confirmation receives in time. 

 

You have NOT agreed to data exchange?

2. The staff of the Infothek will ask you to valid your HCU-Card at the next business day at the validierung station. The data on your HCU-Card will be re-printed (authorization period and HVV logo will be removed).

3. Now you have to show your HCU-Card the staff of the Infothek.

4. You get the a confirmation of delation.

5. The original confirmation of delation has to be submitted to the Studierendenwerk.

Please note:
A deadline for the submission of the confirmation is set in the approval letter. If you miss the deadline maybe you don´t get the refund.

6. The Studierendenwerk transfer the ammount to your bank account if the confirmation receives in time.

 

You can not personally come to the the HCU?

You have two options:

1. You authorize someone you trust.

2. You send the approval letter together with your the HCU-Card to the Infothek.

You want to autorize someone you trust?

For this, the person needs from you a power.

Under the following link you will find the power form that must be completly filled and signed. In addition, a simple copy of your passort is required.

The person you trust now has to go visit the Infothek of the HCU.

There the person shows the approval letter and the power.

You have agreed to data exchange?

The staff of the Infothek will ask the person to valid your HCU-Card and the confirmation of delation will be hand over.

You have NOT agreed to data exchange?

The staff of the Infothek will ask the person to valid your HCU-Card at the next business day and the confirmation of delation will be hand over.

Please note:
Please remember the authorizer to keep in mind that the deadline for submission of the confirmation must be meet.

 

You want to use the service of the Infothek? Then please note the following steps:

1. You submit your HCU-Card together with the original approval letter by post to the Infothek of HCU. At the following link you will find a cover letter form.

2. The Infothek takes care of all the other steps and will transmit the required confirmation of delation to the Studierendenwerk.

3. We will send your HCU-Card to your address where you are registered. Please let uns know, if you want that we send the HCU-Card to another address or if you want to pick up your HCU-Card later.

4. You also can autorizes a person of your trust to submit the HCU-Card and the approval letter. Please use the power. In this case we also need a simple copy of the passport of the autorized person (front and back)!

Please note:
Please submit the letter as soon as possible after receipt of the approval letter to the Infothek.  Otherwise, we can not guarantee that the deadline for the submission of the confirmation to the Studierendenwerk will be meet.

Students have the possibility to get a partial refund of the contribution for the HVV-SemesterTicket (ticket for the public transport) at the S-Bahn Hamburg when they are deregistrated or can use the ticket until the end of validity.

When you wish the partial refund, the HVV-SemesterTicket must be removed from the HCU-Card.

What have you to do:

1. Apply for deregistration via you ahoi-Account.
2. Please state in the application form if you want the partial refund.
3. Print the application, attach your HCU-Card and submit it to the student administration.

After receipt of the application, the student administration take care of the necessary steps.

Please note that the confirmation bears the date of receipt of the application by the HCU. A partial refund will be made only as of the date of the confirmation letter.

Together with the deregistration certificate, you will get the HCU-Card and the confirmation when the HVV-SemesterTicket has been removed from the HCU-Card.

The further steps for you are explained on the confirmation.

When you are not sure wether you want the partial refund or not, it is possible that you send a short letter to the student administration after deregistration in which you ask for the remove of the HVV-SemesterTicket and issue the confirmation. Please do not forget to attach the HCU-Card.

Please note it is not possible to get a partial refund when the end of the validity of the HVV-SemesterTicket is reached.
